Liquor Licensing Authority — Document Processing System

The problem: A government licensing agency was processing liquor licence applications, renewals, and compliance documentation manually — millions of documents moving through a paper-and-email workflow that created bottlenecks, lost files, and audit gaps. The volume was too high for off-the-shelf document management, and the compliance requirements were too specific for a generic platform.

What we built: A custom document processing system engineered to handle millions of documents and reports. Automated intake, classification, routing, and status tracking across the full licensing lifecycle — from application submission through review, approval, and compliance reporting. Role-based access for different agency departments, audit logging on every action, and reporting dashboards that surface processing backlogs before they become problems.

The outcome: The system is in production and processing at scale. Documents that previously sat in queues now route automatically. The agency has a clear audit trail on every licence and every decision, and the reporting layer gives management visibility they did not have before.

Events / Media Technology

Event Video Processing Platform (Web & Mobile)

The problem: A South African photobooth rental company needed a video processing platform that could apply real-time effects to spinning photobooth footage — the kind of 360° slow-motion content that drives social sharing at events. Off-the-shelf video editors could not handle the specific effect pipeline, and the processing needed to work on both web and mobile so event operators and guests could use it on the floor.

What we built: A cross-platform video processing application — web and mobile — with a custom effects pipeline built for spinning photobooth content. Upload, process, apply effects, render, and share, all from the event floor on a phone or from the studio on a desktop. The processing engine handles the specific motion and timing characteristics of 360° booth footage that generic video tools cannot.

The outcome: The platform is live and in use at events across South Africa. Event operators process and deliver footage on-site instead of after the event, and the branded output drives social sharing that turns one booking into the next.

Tender Bidding Portal

The problem: The tender submission process — compiling bid documents, tracking deadlines, managing compliance paperwork, coordinating between team members — was running on spreadsheets, email threads, and shared drives. Bids were missed or submitted incomplete because no one had a single view of what was due, what was ready, and what was still outstanding.

What we built: A custom tender bidding portal that centralises the full bid lifecycle: opportunity tracking, document assembly, compliance checklists, team collaboration, deadline management, and submission tracking. Each bid has a single source of truth — every document, every status update, every deadline — visible to everyone who needs it and locked from everyone who does not.

The outcome: The portal is in production. Bids are assembled in one place instead of across five inboxes, deadlines are tracked centrally, and the team submits complete, compliant bids without the last-minute scramble that was costing them opportunities.

Insurance / CRM

Insurance Broker CRM

The problem: An insurance brokerage was managing client relationships, policy tracking, renewals, and claims across a patchwork of spreadsheets and generic CRM tools that were not built for the insurance industry. Policy renewal dates slipped, client communication history was scattered, and compliance documentation was difficult to produce when needed.

What we built: A purpose-built CRM for insurance brokers: client management with full policy history, automated renewal tracking and alerts, claims workflow management, document storage linked to each client and policy, and compliance reporting. The system fits the way insurance brokers actually work — policy-centric, not contact-centric — which is the fundamental design mistake generic CRMs make for this industry.

The outcome: The CRM is in daily use. Renewal dates are tracked automatically, client history is in one place, and the brokerage can produce compliance documentation without reconstructing it from emails and folders.

Legal / Practice Management

Legal Practice Management System

The problem: A legal practice was running matter management, time tracking, document handling, and client communication across disconnected tools. Attorneys could not see the full picture of a matter without checking three systems, and billing was a manual reconciliation exercise at the end of every month.

What we built: A custom practice management system: matter tracking from intake through resolution, time recording linked to matters and clients, document management with version control, client portal access for status updates and document sharing, and billing integration that turns tracked time into invoices without manual data re-entry. Role-based access ensures associates, partners, and clients each see exactly what they should.

The outcome: The system is in production. Attorneys manage matters in one place, billing pulls from actual tracked time, and clients check their own matter status through the portal instead of calling the office.

Healthcare / AI Integration

Rehabilitation Management System

The problem: A rehabilitation facility needed a system to manage patient intake, treatment planning, progress tracking, and reporting — with the added requirement of AI integration to support clinical decision-making. Off-the-shelf practice management tools did not accommodate the specific workflows of a rehab environment, and none offered the AI layer the facility wanted.

What we built: A custom rehabilitation management system with patient intake and onboarding, individualised treatment plan creation and tracking, progress notes and milestone recording, AI integration to assist with treatment recommendations and progress analysis, and reporting for both clinical and administrative needs. POPIA-compliant data handling throughout, with role-based access separating clinical, administrative, and management views.

The outcome: The system is in use. Clinicians manage treatment plans digitally instead of on paper, the AI layer provides an additional input on treatment decisions, and management has reporting visibility they did not have before.

Sales / CRM

Activations CRM

The problem: A business running field activations — promotional events, brand launches, in-store campaigns — needed a way to manage activation scheduling, team deployment, client reporting, and campaign performance in one system. The work was running on spreadsheets, WhatsApp groups, and manual reporting that took days to compile after each campaign.

What we built: A custom CRM built for the activations industry: campaign and event scheduling, field team management and deployment, real-time check-ins and reporting from the field, client-facing dashboards showing campaign progress and results, and post-campaign analytics. The system replaced the spreadsheet-and-WhatsApp workflow with a single platform the office and the field teams both use.

The outcome: The CRM is in production. Campaign reporting that used to take days now happens in real time, field teams log activity on-site, and clients see results as they happen instead of waiting for a post-campaign PDF.

Logistics / Operations

Courier Parcels System

The problem: A courier operation needed a system to manage parcel intake, tracking, routing, driver assignment, proof of delivery, and customer notifications — a workflow too specific for generic logistics platforms and too complex for the spreadsheet-and-phone-call process they were running.

What we built: A custom parcels management system: intake and labelling, barcode/scan tracking at each handoff point, route optimisation and driver assignment, real-time status updates, proof-of-delivery capture, and customer notification at each stage. The system connects the warehouse, the drivers, and the customer into one tracking flow instead of three disconnected ones.

The outcome: The system is live. Parcels are tracked from intake to delivery, drivers receive assignments digitally, customers get status updates automatically, and the operations team has visibility across every parcel in the network at any point.
